In addition to proctoring, the University Proctoring Lab also manages scantron grading machines, a service available to UNCG instructors at no cost.

Scanning Process Overview

Scanning Schedule

  • Scanning services are available Monday through Friday from 9:00 AM to 7:00 PM, as long as the University is open.
  • Tests are scanned on a first-come, first-served basis, usually within 24-48 hours of submission.
  • Instructors will receive an email once their scanning has been completed.
  • During midterms and final exam periods, tests will have priority over any other data collection or course evaluations.

Scanning Process for Instructors

  1. Complete the Faculty Scanning form.
  2. Fill out a scantron with your test answer key.
  3. Write your name, email address, the course and a test identifier along the top edge of the key.
    • Example: Smith, John jsmith@email.edu COS/123-01 Test #1 KEY
    • You may also include additional instructions (extra credit, etc.), on a separate sheet of paper.
  4. Put the form, the key, and the scantrons in a campus mailer (yellow envelope).
    • If you want a TA or GA to pick up your scantrons after scanning, be sure to include their information in your packet.
  5. Drop the mailer off at the dropbox located inside Jackson Library (open 8:00 AM – 1:00 AM Monday through Thursday, but has alternate hours on weekends).
  6. (OPTIONAL) Send an email to scanning@uncg.edu letting us know that you have dropped off a test. (This just prompts us to check the drop-box earlier than our scheduled times each day.)
  7. Within 48-hours of receiving the tests, our scanners will run your files and send you an email which includes all the reports requested on the Scanning Form.
  8. Once you receive your emailed reports, you may come to Forney 114 to pick up your scantrons, or let us know to put them in Campus Mail to your office.

PLEASE NOTE: Scanning does not happen in Forney 114; our scanning machines are stored off-site and are accessed only when scanning is arranged.

Accepted Forms for Scanning

We use the red five-response, 200 item, NA3100-6 answer sheets. These are the ONLY forms that we scan for tests (other forms may be available for surveys).

Answer sheets must be completed in #2 pencil—any sheets completed in pen will not be graded and will be returned without scoring.

Answer sheets that cannot be fed through the scanner will not be graded. This includes sheets that are torn, wet, dirty, or might otherwise harm our equipment.

The test scanner is not responsible for manually correcting answer sheets that are submitted without the student’s name bubbled in, or where errors have been made in bubbling.

Both scantron sheets shown in the images below are acceptable.

Purchasing Forms

Your department can purchase scantrons from the UNCG Bookstore. They are reasonably-priced, and a bulk discount is available to departments—inquire with the Bookstore Manager for more details.

If you require students to purchase their own scantrons, they may buy them from the UNCG Bookstore or from many convenient locations on campus (Spartan Market, C-Store, etc.).

Our standard grading package includes and excel spreadsheet containing:

  • 101 – Student Statistics Report (individual student grades)
  • 103 – Class Frequency Report (bar graph showing overall class performance)
  • 150 – Student Grade Report (Breakdown of students’ answers for individual review)
  • 204 – Condensed Item Analysis Report (individual question analysis)
  • 310 – Test Statistics Report (general stats on class performance)
  • 320 – Test Item Statistics (summary statistics per question)

Information to Share with Students

Be sure to tell your students/respondents these details:

  • Enter your name into the last name and first name fields beginning at the start of the field. If you run out of blanks, stop– do not put more than one letter in each box. Then fill the corresponding bubble under each letter. It is not necessary to fill in any blanks at the end of each field.
  • The “Student Identification” field is not required by Scanning Services. An instructor may choose to use this field for identification purposes in their reports. Never use your social security number on this form.
  • Use a #2 pencil to record your answers. Ink cannot be read by our scanners and will result in your answers being unscored.
  • Keep your test answer sheets in good condition. Folds, tears, water spots, and other damage may limit our ability to read your answers. Be sure to completely erase any errors or stray marks from the page.
